We are seeking a highly organized and customer-focused HVAC Dispatcher to coordinate and schedule service calls, manage technician routes, and ensure timely and efficient service delivery to our clients. The ideal candidate will have excellent communication skills, strong attention to detail, and the ability to thrive in a fast-paced environment.
Key Responsibilities:
- Dispatching & Scheduling:
- Receive incoming service requests via phone, email, or dispatch software.
- Schedule and dispatch HVAC technicians based on availability, skillset, and location.
- Monitor job progress and adjust schedules as needed to accommodate emergency or priority calls.
- Customer Communication:
- Communicate with customers regarding appointment times, delays, and service updates.
- Provide outstanding customer service by addressing client inquiries and concerns professionally.
- Coordination & Support:
- Serve as the main point of contact between customers, technicians, and office staff.
- Ensure technicians have necessary job details, parts, and documentation before arrival.
- Track and manage daily work orders and service tickets using dispatch software (e.g., ServiceTitan, Housecall Pro, or similar).
- Administrative Duties:
- Update customer records and service history accurately.
- Assist with invoicing, data entry, and basic reporting as needed.
- Maintain organized and efficient dispatch logs and records.
Qualifications:
- 5+ years of experience in a dispatching, customer service, or administrative role; HVAC industry preferred.
- Proficient with dispatching or field service management software.
- Strong organizational, time management, and multitasking skills.
- Excellent communication skills (verbal and written).
- Ability to stay calm under pressure and manage high call volumes.
- Team-oriented mindset with a proactive and problem-solving attitude.
